POSITION TITLE: Program Specialist, Employment & Community Programs

RESPONSIBLE TO: Employment Manager

JOB DESCRIPTION: Coverage includes duties related to data entry, responsible for collection of data, processing paperwork, coordinating and scheduling interviews, providing other administrative support to the Director of Employment & Community Programs and the employment & community programs team.

DUTIES/RESPONSIBILITIES:

  1. Prepare enrollment and placement CDBG paperwork an all clients for submittal.
  2. Prepare and deliver CDBG vouchers on the 15th of every month.
  3. Gather and maintain client documentation; gather documentation from the client to determine eligibility in programs using current national and state guidelines (CSBG-ARRA, CDBG, SYEP, and all public grants).
  4. Data entry, filing, photocopying, faxing, and other clerical duties, as needed for intake.
  5. Develops an appropriate tracking format to ensure appropriate employer follow-up.
  6. Completes all required paperwork in a neat and timely manner. When required, utilizes a database system to enter employment related information.
  7. File all project documents.
  8. Ensure the maintenance of accurate and confidential files in accordance with NLEI policies, and regulations; ensure completeness of applicant files.
  9. Act as main point of contact between clients and employment staff related to scheduling; schedule employment staff interviews; assign employment staff to clients.
  10. Process applications and make sure that all clients will correctly complete the application process.
  11. Provide weekly reports to leadership team; manage employer and client database for employment staff; enter and maintain data; construct queries; and produce accurate and timely reports.
  12. Provide communication between NLEI and the City of Chicago.
  13. Attend CDBG meetings as needed.

QUALIFICATIONS:

H.S. Diploma or GED and vocational training with at least two years of clerical experience.

  • Excellent computer skill. Proficient in MS Word, Excel, Power Point and Outlook.
  • Possess strong communications skills.
  • Customer service oriented.
  • Possess excellent organizational and multi-tasking skills
  • Able to work with a diverse population.
  • Must have the ability to work independently, maintain confidentiality of information and meet deadlines.
  • Initiative to complete duties promptly and assist other office staff as needed.
  • Ability to work in fast-paced environments and work well under pressure.
  • Willing to work flexible schedules as deemed necessary.
  • Bilingual (Spanish/English).
