Under the general supervision of the Program Director, the Health Adviser is responsible for logging and tracking children’s health information into the data base and ensuring that children and families have the resources necessary to provide all required medical documentation. This includes updating health files and entering the information into the COPA system. Also, responsible for maintaining the binder for CACFP to ensure timely reimbursement of the CACFP Food Program.


1) Responsible for ensuring that children’s records are complete and consistently reviewed and updated as needed in order to be compliant with funder requirements.

2) Ensures that children’s food allergies are identified and that every classroom and kitchen has this information posted.

3) Responsible for completing the food report for all programs and for collecting meal participation records and ensuring their completion by the classroom Teachers at the end of the month. More specifically, ensuring that the required calculations were performed for each child’s meal count and eligibility category, cross checking meal participation records for accurate daily totals, and for completing the Total Meals Recap form. Also responsible for completing the Claim For Reimbursement form and ensuring the inclusion of supporting documentation.

4) Collaborates with nurse consultant to ensure that teachers are storing and maintaining medication appropriately and safely.

5) Reviews and provides input into health service plan, health policies and procedures.

6) Convenes or facilitates/participates in HSAC (Health Service Advisory Committee) meetings as required by HS/EHS.

7) Ensures that all First Aid Kits are stocked according to the requirements set forth by the Illinois Department of Children and Family Services.

8) Participates in Department Meetings monthly.

9) Works to ensure that all families submit the required medical paperwork within the first 45 days of the child’s enrollment throughout the program year.

10) Determine if children are current with a schedule of age appropriate preventative and primary health care in accordance with the EPSDT (Early and Periodic Screening, Diagnosis, and Treatment schedule and the latest immunization recommendations issued by the Center for Disease Control and Prevention.

11) This person will need to be well versed in all funder requirements, most especially HS/EHS. 11. Review children’s medical files for funder compliance.

12) Serves as the monitor for the ISBE Food Program and observes classroom practices at least four times per program year.

13) Participates in annual Self-Assessment.

14) Assists Enrollment Department and Family Support with duties as needed.

15) Assist with ordering supplies related to health and tooth brushing.

16) Performs other duties as assigned.
